Create better guest experiences with Klaviyo and OpenTable’s updated integration

Generated by Klaviyo AI

Klaviyo's updated OpenTable integration now syncs reservation data in real time, stores bookings as native Reservation objects on guest profiles, and pulls in item-level POS order data. This enables restaurants to trigger automated flows instantly when reservations change status and personalize messaging based on actual dining history and spend.

  • **Real-time reservation syncing: **replaces the old 30-minute polling cycle, allowing instant triggers for cancellations, no-shows, and completed visits
  • **Native Reservation objects: **enable date-triggered flows, multi-booking support, and dynamic content personalization based on upcoming reservations
  • **Item-level POS data: ** flows through for restaurants with a POS connected to OpenTable, allowing VIP segmentation based on actual spend rather than just visit count

Ask anyone on your floor team about your regulars and they’ll tell you who’s celebrating, who always asks for the window table, and what they order every time. That kind of knowing is what makes a restaurant feel like yours. The opportunity is bringing it into your marketing, too.

It starts with guest data. Much of that knowledge already lives in your systems. Your reservation system knows who’s coming and what they’re celebrating. Your POS knows what they ordered. But for most restaurants, that data never makes it into the CRM, so your marketing only sees part of the guest:

  • Promotions miss the moment. Your offers go out on your calendar, not your guests’. They aren’t timed to birthdays, anniversaries, or an upcoming visit.
  • Upcoming visits go unnoticed. A guest books for Saturday, but your marketing doesn’t know it, so nothing goes out beforehand to build excitement and help them show up.
  • Offers ignore what guests order. You promote the same dishes to everyone, instead of the ones each guest keeps coming back for.
Recognition is what makes a guest feel known, and recognition starts with data. That’s why today, we’re introducing the updated Klaviyo OpenTable integration. It brings every reservation and order onto one guest profile in Klaviyo, alongside your online ordering and loyalty data, so you can turn each booking into a personalized guest experience the moment it happens.

"Restaurants know their guests better than anyone, and they should have every tool to act on that,” says Mike Eng, general manager of restaurants at Klaviyo. “Our enhanced integration with OpenTable, a Preferred Table Management Partner, puts every reservation on the guest profile, lets restaurants react the moment a booking changes, and shows what each diner actually ordered, all in a few clicks. It moves restaurants beyond one-size-fits-all marketing and gives them a direct, lasting relationship with every guest, without adding complexity."

Our partnership with OpenTable is intentional: it’s the most scaled reservation platform in the world, with more than 60,000 restaurants and roughly 1.8 billion seats filled each year.

What's new in the OpenTable integration for Klaviyo

With the updated Klaviyo and OpenTable integration, you can:

  • Connect in a few clicks. Install the OpenTable app from the Klaviyo App Marketplace (or OpenTable's marketplace), sign in with OAuth, allow access, and choose which restaurant locations to sync. It’s that easy.
  • Trigger on reservation status in real time. Created, Confirmed, Cancelled, No Showed, and Completed events arrive in Klaviyo the moment status changes in OpenTable. Each event carries party size, scheduled time, table category, visit tags, booking origin (web, phone, walk-in), special requests, and location.
  • Build off the Reservation object. Each booking now lives on the guest profile as a Reservation object. Marketers can build date-triggered email and text message flows off the reservation's scheduled time, such as one week before and the morning of. They can segment on upcoming bookings and pull reservation details into message content. This works even when a guest has several upcoming reservations.
  • Personalize with order data. For restaurants whose POS, like Toast or Square is connected to OpenTable, Klaviyo receives Placed Order and Ordered Product events with every item, modifier, and check total. VIP status can finally reflect actual spend, not just visit count.
  • Backfill history. Klaviyo imports historical guests, reservations, and POS orders so segments and email and text message flows work from day one.

5 restaurant email marketing flows to build with OpenTable data

  1. Instant no-show and cancellation recovery: The moment OpenTable marks a reservation No Showed or Cancelled, send a "We'll save you a seat next time" text message with a link to rebook. Branch by party size or visit history, and exit guests who rebook on their own.
  2. Pre-visit countdown: OpenTable already handles confirmations and reminders, so build the marketing moments around them. A date-triggered flow off the Reservation object's scheduled time sends a note one week out with parking tips, menu highlights, and an offer to add a celebration dessert. A day-of note follows, personalized with party size and location.
  3. Spend-based VIP recognition: For restaurants with POS data flowing through OpenTable: flag guests whose total spend crosses a threshold, add them to a VIP segment, and invite them to a tasting menu or chef's table before it opens to everyone else.
  4. Dish-level post-visit follow-up: After a Completed Reservation, thank the guest and recommend a dish or pairing based on what they ordered, with a prompt to book their next visit.
  5. Birthday and anniversary celebrations: OpenTable birthday and anniversary dates sync to profiles. Use them to invite guests to celebrate with a reservation two weeks ahead of the date, with a small touch waiting at the table. .

How to connect OpenTable to Klaviyo

Your teams already know who booked, who showed up, and what they ordered. With the updated OpenTable integration, that picture reaches your marketing in Klaviyo as it happens, so every message can reflect the guest it’s going to. And as booking increasingly happens through apps and AI assistants, clear first-party guest data will help restaurants stay recognizable to the guests they’ve earned

The updated OpenTable integration is available for all Klaviyo customers who use OpenTable.

For existing OpenTable + Klaviyo customers, simply reconnect your OpenTable account to turn on the new features, including the Reservation object. This is an upgrade to the integration you already use, not a net-new product.

Remember, POS order data requires your restaurant's POS to be connected to OpenTable.
