We’re looking for a Travel and Expense Manager to own and manage our global travel and expense programs, ensuring a world-class experience for Klaviyos while maintaining strong financial controls and operational excellence.

As the Travel and Expense Manager, you’ll be responsible for managing our Travel and Expense program, owning the corporate card and purchase card processes, overseeing airline and hotel partnerships, and supporting internal and external audit requirements. You will play a critical role in verifying expenses, improving travel processes, and ensuring compliance with SOX and internal audit (IA) controls.

How You’ll Make a Difference:

  • Own and manage Klaviyo’s global Travel and Expense (T&E) program, driving policy adherence and providing an excellent employee experience.

  • Oversee the Corporate Card program, including issuance, maintenance, and compliance monitoring.

  • Manage the Purchase Card program via Navan, ensuring proper usage and reconciliations.

  • Verify and audit every employee-submitted expense report for accuracy, compliance, and proper documentation.

  • Support large event travel coordination and bookings, working cross-functionally with stakeholders across Klaviyo.

  • Ensure SOX and Internal Audit (IA) controls are embedded within the T&E process and maintained effectively.

  • Manage corporate airline contracts and agreements, negotiating favorable rates and monitoring performance.

  • Build and maintain ad-hoc hotel partnerships as needed to support business travel.

  • Continuously seek ways to optimize our T&E processes, tools, and policies to create efficiencies and improve the employee experience.

  • Provide reporting, insights, and recommendations to leadership regarding travel trends, spend, and opportunities for improvement.

Who You Are:

  • You have 5+ years of experience managing travel and expense programs in a fast-paced, growing company.

  • You have a strong understanding of corporate card management, T&E policy development, and SOX/internal audit requirements.

  • You have exceptional attention to detail and a commitment to accuracy and compliance.

  • You are highly organized, self-motivated, and able to manage multiple priorities with tight deadlines.

  • You are experienced in working with T&E systems (such as Navan, Concur, or Expensify) and financial systems.

  • You are a strong communicator, able to work effectively across teams and levels.

  • You thrive in a dynamic environment and enjoy building and improving processes from the ground up.

Our salary range reflects the cost of labor across various U.S. geographic markets. The range displayed below reflects the minimum and maximum target salaries for the position across all our US locations. The base salary offered for this position is determined by several factors, including the applicant’s job-related skills, relevant experience, education or training, and work location.

In addition to base salary, our total compensation package may include participation in the company’s annual cash bonus plan, variable compensation (OTE) for sales and customer success roles, equity, sign-on payments, and a comprehensive range of health, welfare, and wellbeing benefits based on eligibility. Base Pay Range For US Locations:
$108,000$162,000 USD
